This client had wanted to update their employee manual for a long time. It had received a manual from its attorneys, but it was a "canned" version intended for all clients. In fact, there were several sections in which the "blanks" had not even been completed. These types of manuals are usually prepared for clients by either attorneys or payroll companies.
Why does a company even need an employee manual? In order to effectively communicate and administer policies and procedures, a company needs to have a clear, concise and understandable employee manual. An employee manual is an especially valuable tool for new employees and for employees who are unsure about company policies.
There is certain required information necessary to avoid an implied employment contractual relationship. In addition, it is vital that the company remains in compliance with labor laws.
In this particular case the client wanted to clearly communicate to the employees several specific policies concerning time and attendance and dress that a "one size fits all" manual couldn't provide.
Northeast HR for Hire took the "canned" manual and interviewed the client to ascertain which policies were applicable. We then rewrote and reorganized the manual to produce one that was more fitting to the client. As a final step in the process, our consultant met with management and the supervisory staff to show them the best ways to use the manual so that all employees clearly understood the company's policies, procedures and expectations.
Resolution:
Employee manuals are not absolutely necessary for all employers. However, employers are often given manuals that are "canned" or not well written. In order to have an effective manual, employers need to examine their own policies and procedures and determine how they wish to communicate this information to their employees. Northeast HR for Hire was able to assist this client by analyzing the client's specific policies and procedures and tailoring an employee manual that was useful for both employer and employee.
